If you create an invoice manually instead of selecting Pay from the Pro Calendar appointment, you can record the payment after the invoice has been created.
Note: All clients, names, emails, appointments and other data shown in the screenshots are sample data we created for this guide. They are not real people or real records.
When to use this
- You created an invoice manually and the client has now paid by cash or e-transfer.
- You created an invoice manually and want to charge the client’s saved card.
Note: Use this only for an invoice you’ve already created manually from Billings. If you take payment with Pay on the appointment in Pro Calendar, you don’t need to record it here.
Steps
1. In the left sidebar, click Billings and open the invoice. Then click Add Payment at the bottom right.
To open an invoice, click its number on Billing and Payments. The bottom of the invoice also has Delete Invoice and Edit Invoice.
The Add Payment panel opens on the right and shows the amount to collect, for example Choose how to collect $105.60.
2. Choose how the client paid: Card, e-Transfer or Cash.
Cash or e-Transfer
1. Click Cash or e-Transfer.
2. Check the Date of payment. Click it to choose a different date.
3. Click Mark as Paid.
Card
1. Click Card.
Saved cards on file lists the client’s saved cards. If there are none, you’ll see No saved cards for this client.
2. Choose a saved card, or click Add new card to add one.
3. Click Charge, for example Charge $105.60.
This charges the selected card through Stripe and marks the invoice as paid.
What you’ll see
On Billing and Payments, the invoice’s Status changes to Paid, the Type shows how it was paid (for example Cash), and Revenue at the top goes up by the amount paid.
