Role-based access keeps sensitive information limited to the people who need it — a core part of both good practice and compliance.

Assign the right role

  • Owner — everything, including billing and practice-level settings.
  • Admin — scheduling, clients, and billing, without practice settings.
  • Clinician — only their assigned clients and clinical records.
  • Front Desk — scheduling and check-in, with no access to notes.

Fine-tune access

Beyond the base roles, owners can grant or restrict specific permissions per person — for example, letting a supervisor review a colleague's notes, or limiting who can export data.

Tip: Review your team's roles whenever someone's responsibilities change, and remove access promptly when someone leaves.
